SUMMARY

Seeking an Administrative Assistant to provide administrative support to our Cleveland (Highland Heights) branch office. Duties include general clerical, purchasing, inventory, and accounting responsibilities and project based work. Project a professional company image through in-person and phone interaction. Other duties may be required as assigned by the Cleveland branch manager.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Assume receptionist duties, greet public and refer them to appropriate staff members, answer phone, route calls, and take messages when required.
  • Create and modify documents such as proposals, quotes and miscellaneous correspondence.
  • Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, filing and scheduling appointments.
  • Sign for and distribute UPS/Fed Ex/Airborne packages. Distribute incoming mail and prepare outgoing mail including bulk mail.
  • Order office supplies and monitor inventory.
  • Create and maintain various office records such as work tickets and accrual work sheets for invoices.
  • Perform basic accounting functions such as billing, accounts receivable, accounts payable, maintain branch checkbook and petty cash. 
  • Prepare various monthly reports as required such as the branch checkbook log, the petty cash book log, Company credit card receipts and inspection reports to fire officials.   
  • Prepare and send weekly payroll report information.
  • Assist with the scheduling of branch manpower.
  • Coordinate travel and lodging accommodations for staff, as requested.

 

QUALIFICATIONS

 

  • Demonstrated oral and written communication skills.

 

  • Demonstrated ability to work independently and as a team player.

 

  • Knowledge of general office machines and telephone systems.

 

  • Proven organizational skills.

 

PREFERRED EDUCATION and/or EXPERIENCE

High School Diploma or GED. Minimum three to five years clerical or administrative experience. Experience in the construction industry is a plus.

 

 

COMPUTER SKILLS

Proven knowledge of Microsoft Office Software (i.e. Word, and particularly Excel.)
